Operations Specialist - Front Support 100% (m/f/d) [Switzerland]

We are seeking an experienced Operations Specialist responsible of ensuring that all operational tasks are completed accurately, efficiently, and in compliance with guidelines and policies. Additionally, the Operations Specialist will have project management responsibilities and will be responsible for overseeing projects related to process improvements, application upgrades, and other strategic initiatives within the Chief of Staff division.

YOUR CHALLENGE

  • Act as key point of contact & Subject Matter Expert for internal stakeholders such as Compliance, Legal, Risk Management, Client Documentation Services for all matters related to the intermediaries lifecycle (opening, maintenance and closing of relations)
  • Own the set-up and administration of Intermediaries Pricing and Contractual Agreements
  • Identify areas for process improvement and work with cross-functional teams to implement changes
  • Ensure product management duties for Intermediaries tools (i.e access management, user support) and support development of new processes and functionalities (i.e requirements specification, Subject Matter Expertise during implementation, business testing)
  • Conduct ad-hoc analysis and tasks as assigned by Line Manager or as agreed within the team
  • Take responsibility and ownership of Intermediaries knowledge management platform.
  • Work with development teams and external suppliers in identifying, testing and implementing business process or application enhancements
  • Represent the Segment Management stake in business or IT initiatives with the support of senior managers or SMEs

YOUR PROFILE

  • Project management experience, with a proven track record of successfully managing complex projects from start to finish.
  • Strong analytical skills
  • Strong organizational and time management skills, with the ability to manage multiple projects simultaneously
  • Excellent communication and interpersonal skills, with the ability to work effectively with cross-functional teams and external stakeholders.
  • Flexible and pragmatic approach, able to adapt to changing environments and open for new challenges
  • Analytical thinking and problem-solving skills, maintains a strong focus on timelines and details
  • Fluency in English and German (written and spoken) is a must requirement, French and Italian skills are of advantage
  • Strong knowledge of MS Office (Word, excel and PowerPoint mainly), possibly knowledge of JIRA and confluence are of advantage
  • The ability to effectively prioritize tasks
