Primary Overview:
- We are seeking an exceptional Executive Assistant to join us to support our Medical Affairs team in our Electrophysiology division.
- The ideal candidate will be an analytical person who has excellent communication skills and impeccable attention for detail. The candidate should also have experience working in an office environment, performing administrative tasks, and providing support to coworkers. An ability to multitask, manage complex schedules, and meet changing deadlines is essential to the position.
Responsibilities:
- Oversee complex calendar management and coordinate meetings for assigned leader(s)
- Coordinate frequent domestic and international travel arrangements including the transportation, accommodation, invitation letters, visa, confirmation, conference room logistic, etc., in liaison with the travel agency if needed
- Provide administrative support to senior leader(s), including email correspondence and generation and distribution of memos, letters, spreadsheets, forms, faxes, mailing and shipping etc
- Maintain workflow by analyzing and refining standard operating procedures, such as scheduling, communications
- Maintain filing system, contact database, and inventory
- Manage facilitation of group meetings/events such as meeting coordination, logistics, food delivery etc.
- Provide general secretarial support to other team members and/or events, projects etc
- Proactively establish and maintain effective working team relationships
- Coordinate internal and external resources to expedite workflow
- Oversee and achieve organizational goals while upholding best practices
- Any other duties as assigned/ad-hoc assignment
Requirements:
- Diploma/Degree holder preferably with secretarial training.
- Minimum 5 years of secretarial experience in MNC environment, supporting senior management level and his/her team members.
- Positive attitude, self-initiative and independent
- Strong time-management skills and multi-tasking ability to organize and manage simultaneous projects.
- Possess excellent written & verbal communication and interpersonal skills
- Proficient in calendar management, Outlook and Microsoft applications and aptitude for learning new software and systems
- Experienced in managing budgets and expenses preferred
- Experienced in developing internal processes and filing systems
- Comfortable handling confidential information
